Create One-Time Ticket

A one-time ticket is a job you schedule once — an extra clean, a callback, something a customer has asked for — rather than part of a regular contract. This shows you how to create one and put it on someone's schedule.

Start the Ticket

1

Open the schedule and go to the day

Click Schedules in the top menu. The day view shows each employee in a row with their work across the day. Use the arrows or the calendar icon at the top left to move to the day you want the ticket on, then click New.

The day view lists employees down the side, with New above it.

2

Say what you are creating

The Create Schedule box asks what you want to add. Choose the ticket option.

3

Pick the customer or building

The Customer dropdown lists your customers, with each customer's buildings underneath it, and has a search box at the top. Pick the customer or the specific building the job is at. + New Customer adds one you do not have yet.

The customer list groups each customer's buildings under the customer name.

4

Set the source and name it

Choose a Source: Manual if you are writing the job up yourself, or Bid to bring across the building's areas from a bid you have already created, with the tasks listed in each area. Then type a name for the job in the Ticket box and click Create.

5

Pick a category

The ticket opens with its own number. Set the Category to whatever fits. The standard ones are Misc., Cleaning Instructions, Inspection Follow Up, Complaint, Request, Janitorial, Maid, Carpet, Window, Tile, Move In/Out and Construction, and you can add your own in Settings.

The Category dropdown covers everything from a complaint to a particular kind of cleaning.

6

Set the day, the time and who does it

The ticket starts at Status Open. Schedule already holds the day you moved to on the schedule — pick a different one here if you need to. Leave Any time unticked and set a Time from and to if the job has to happen at a particular hour; tick Any time if it just has to be done at some point that day. Budget takes the hours and minutes you expect it to take, and Assigned is the person who will do it.

Status, Schedule, Time, Budget and Assigned run down the right side of the ticket.

7

Add instructions and save

Type what needs doing in the Instructions box and click the green Save. The ticket then shows on the schedule, on the day you set, in that employee's row.

Instructions is the big box at the bottom, with Save under it.

FAQ

Where does the ticket show up after I save it?

On the schedule, on the day you set it for, in the row of the person you assigned it to.

What categories can a ticket have?

The standard ones are Misc., Cleaning Instructions, Inspection Follow Up, Complaint, Request, Janitorial, Maid, Carpet, Window, Tile, Move In/Out and Construction. You can add your own categories in Settings.

Can I put the ticket against one building rather than the whole customer?

Yes. The customer list shows each customer's buildings underneath the customer, so pick the building instead.

What if the job does not need a set time?

Tick Any time. The ticket then just belongs to that day rather than to a time slot.
