Create Move In/Out Bid

A move in/out bid is priced by layout rather than by building. You tell CleanGuru which unit types the property has, give each one its square footage, and it prices every layout separately so you can quote a whole complex from one bid.

Start the Bid

Open the Move In/Out bids screen

In the top navigation bar, hover Bids and choose Move In/Out.

Start a new bid

Click the green New Bid button at the top left.

Fill in the bid details

Pick Prospect or Customer and select the name, type a name in the Bid box, and choose the property Type — Apartment, Condo or Home.

Add the layouts

Choose a unit type from the Layouts dropdown and click Add. Repeat for every layout in the property; each one is listed under the dropdown as you add it.

Create the bid

Click Create.

Open the Layouts tab

Click Layouts, then choose Express in the Enter Measurements box. Manual lets you measure room by room instead.

Enter the square footage

Type each layout's square footage in the Sq Ft column and check the Floor and Type columns beside it. Select layout... plus Add brings in a layout you missed. Click Enter.

Check the totals

The Layouts tab now lists each layout and totals it by floor type. Re-enter reopens the measurement box if you want to start again.

Open the task list

On the Layouts tab, click the green Options button below the layout list.

Adjust the task list

Each layout has its own task list, and Other Requirements at the bottom of the sidebar holds anything that applies to the whole job. Use Add Task to add your own and Add Layout to add another unit type, then click Go Back.

Price the Job

Open the Price tab

Click Price. Each layout gets a row showing Sq Ft, Difficulty, Expectations, Inside Panes, Stove, Fridge and a suggested Price range.

Set the pricing factors

Enter your hourly rate in Wage $ and how many units you expect to turn in Units/mo, adjust the dropdowns and extras for each layout, then click Recalculate.

Enter your price

CleanGuru has already written a description for each layout. Type your figure into the Price box, choose $ or ¢ and /visit or /sq ft, then click Save. To reword a line, click the icon to its left to pick a standard description, or type your own.

Build the Proposal

Choose what the proposal contains

Click Proposal, then tick what to include — Proposal, Measurement Summary and Work Specifications.

Open the section options

Click Options at the top right of the Proposal tab.

Reword or drop a section

Pick a section in the list on the left — Cover Page, Cover Letter, General, Compensation through to References — to change its wording, or tick Do not use to leave it out of this proposal. Page Numbers switches page numbering on and off. Click the green Save, then Go Back to return to the Proposal tab.

Preview the proposal

Click Preview.

Review and send

Page through the document — it carries a price for every layout and its task list — then click Print or Email at the top, or Go Back to keep editing.

That is a complete move in/out bid: every layout measured, its task list set and priced, packaged as one proposal. Because the price is per layout, a property manager can see exactly what each unit type costs to turn.

FAQ

What is a layout?

A unit type — 1 Bedroom 1 Bath, 2 Bedroom 2 Bath, and so on. CleanGuru measures, specifies and prices each layout separately, so one bid can cover a whole complex.

Can I add a layout after the bid is created?

Yes, but not through the Express box — that only opens while a bid still has no measurements, so it will not reappear once you have entered them. Go to the Layouts tab, click the green Options button, then click Add Layout in the sidebar.

What is Units/mo for?

It is how many units you expect to turn in a month, which CleanGuru uses in working out the recommended price.

What are Inside Panes, Stove and Fridge?

Extras that add time to a turn. Ticking them, or raising the number of inside panes, raises the recommended price for that layout.

Do move in/out bids include marketing highlights?

No. System Highlights and Service Highlights belong to the janitorial module only. A move in/out proposal offers Proposal, Measurement Summary and Work Specifications.

Where do requirements that apply to the whole property go?

Under Other Requirements at the bottom of the layout sidebar on the work specifications screen.

Can I change the wording of a price description?

Yes. CleanGuru fills each line in for you. Click the icon to the left of a description to choose from its standard descriptions, or click into the box and type your own.
